Enquiries & Follow-up

Getting an enquiry is only half the job.

Calls, forms, messages and leads are only useful if the right information gets captured and somebody knows what happens next. CPDS helps turn scattered enquiries into clear next actions.

Capture better information. Reply clearly. Follow up without relying on memory.

Smart Intake Forms

The enquiry arrived. The useful information didn’t.

“Hi, can I get a quote?” is a start. But if you still need the service, location, photos, size or timing, the real enquiry hasn’t arrived yet.

Smart Intake Forms gather what matters upfront — through a guided form or conversational flow.

  • Useful details arrive together
  • Fewer basic questions to chase
  • Photos, location and job details collected
  • Questions that fit the service
  • A clear next action

Illustrative example

Good fit when

  • You ask the same questions repeatedly
  • Photos, location or job details matter
  • You need useful context before quoting or responding

Handle it manually if that works, or connect the information into follow-up, booking, notifications and wider workflows — with automation or AI only where it genuinely helps.

Landing pages & lead journeys

You got their attention. Where does it go next?

An ad, Google result or social post can get someone interested. Send them to a generic homepage and they still have to work out what to do next.

A focused landing page keeps the service, message and next step together — whether that’s an enquiry, callback, guided intake or booking.

Illustrative example

Common friction

  • Traffic lands on a generic page
  • The visitor has to hunt for the right service
  • Too many competing next steps

A focused journey

  • One service or offer
  • One clear action
  • A direct route into the next step

Good fit when

  • You’re running ads or campaigns
  • You’re promoting a specific service
  • Social or outreach traffic currently lands somewhere generic

A landing page doesn’t create demand by itself. It gives existing attention a clearer route forward.

Chatbots & virtual assistants

Customers want an answer now. That doesn’t mean you have to be on your phone all day.

Customers often ask the same first questions: do you cover my area, can I send photos, what happens next, can I book, can I get a quote?

A chatbot or virtual assistant can respond instantly across website chat, WhatsApp or Meta, keep the enquiry warm, and guide the customer towards the right next step.

Illustrative example

  • Instant first response

Customers get an answer while you’re busy on the job.

  • Repetitive questions handled automatically

The same first questions don’t need answering by hand every time.

  • Clear next step or handover

The conversation ends somewhere useful: a quote, a booking or a callback.

Good fit when

  • You’re often on the job
  • Enquiries arrive across multiple channels
  • Quick first responses matter
  • You want to keep enquiries warm without constant phone management

Not every business needs a chatbot. But where speed, consistency or availability matter, a practical virtual assistant can take the pressure off.

Unified Inbox

Five places to check means five places to forget.

When enquiries live in different places, keeping track of what still needs a reply gets harder.

A Unified Inbox brings supported enquiry sources into one clearer working view, with the conversation, status and next action easier to find.

  • One place to work

Supported enquiries are easier to see together.

  • Clearer next actions

See what still needs a reply, quote or callback.

  • Less app switching

Spend less time checking several places.

  • Better team visibility

Owner and next action can stay visible.

Illustrative example

Good fit when

  • Enquiries arrive through several channels
  • You check multiple apps to stay on top of things
  • Callbacks, quotes or follow-up are easy to lose track of
  • More than one person may need to handle enquiries

Not every business needs every channel connected. The goal is a clearer working view for the enquiry sources that actually matter.

Follow-up workflows

A reply isn’t the same as follow-up.

The enquiry arrived. Somebody replied. Then the day got busy, and nobody picked it back up.

CPDS can build a clearer follow-up process around the enquiry — with an owner, status and next action kept visible, plus reminders or automation where the trigger is dependable.

Illustrative example

The problem

A reply happened, but nobody set what happens next.

Follow-up relies on somebody remembering, and it is not always clear who owns the enquiry.

The difference

A reply is a single message.

  • Somebody replied, but no next action was set
  • Follow-up relies on somebody remembering
  • It is not always clear who owns the enquiry

Follow-up is a planned process.

  • A next action stays visible
  • Responsibility is clear
  • Reminders or automation support the process

Key benefits

  • Next steps stay visible

An owner and a next action sit on the record, not in somebody’s head.

  • Clearer ownership

It is clear who is following up, and when.

  • Reminders where they help

Acknowledgements and reminders can be automated where the process supports it.

Follow-up can stay human while the system handles the remembering. Automation works best when there is a dependable trigger. Where there isn’t one, a clear task and reminder can be safer than pretending the system knows what happened.

Bookings & Appointments

A booking shouldn’t need six messages.

When somebody is ready for the next step, arranging a callback, appointment or site visit can still turn into another chain of messages.

CPDS can build a booking journey around the way the business actually works — from choosing the right type of next step to offering suitable times and confirming what happens next.

Good fit when

  • Callbacks are a common next step
  • Customers regularly need consultations or appointments
  • Site visits or surveys need arranging
  • Staff spend time going backwards and forwards over availability
  • The business needs some context before accepting a booking

Illustrative example

Not every business needs open self-booking. A callback request, appointment window or qualified site visit can be a better fit than exposing the whole diary.

Missed Call Recovery

The phone rings while you’re busy. What happens next?

When you can’t answer, Call Handler can answer the call, ask a few useful questions and pass the details back to the business.

Connected where it helps

These don’t have to be separate systems.

You might only need one thing. But when two or three parts of the enquiry journey need to work together, CPDS can connect them around the way your business actually works.

Start with the problem. Connect only what makes the next step easier.

How it’s scoped

Built around the problem, not a fixed software bundle.

Some businesses need one small improvement. Others need several parts connected together.

CPDS starts with what is actually causing the friction, scopes the simplest useful solution, and confirms the build, setup and any ongoing costs before work starts.

  1. Show us the current process

Where enquiries arrive, what happens next and where it gets messy.

  2. Scope the useful fix

One capability, a few connected pieces or something more tailored.

  3. Know the cost before we build

The scope, setup and any ongoing costs are agreed before work starts.

Already got a process that works? Good. We won’t manufacture a problem just to sell you another system.

Talk through your enquiry process

Before you ask

A few things you might be wondering.

Do I need a CPDS website to use this?

No. Depending on the capability, CPDS can work with an existing website, landing page or other enquiry route. What can be connected depends on the systems, channels and access available.

Can I start with just one part?

Yes. A business might only need Smart Intake Forms, a chatbot, bookings, missed-call recovery or a clearer follow-up process. More can be connected later if there is a genuine reason.

How much does it cost?

It depends on scope. A simple website chatbot or booking journey is very different from connecting WhatsApp, Meta, several enquiry sources and follow-up workflows. CPDS scopes the requirement first and confirms the build, setup and any ongoing costs before work starts.

Do I need to replace the software I already use?

Not necessarily. Where sensible, CPDS can work around existing tools or connect suitable systems rather than replacing everything. What is practical depends on what your current software supports.

Can WhatsApp, Meta, email, SMS and website enquiries all be brought together?

Potentially, but not every channel or account can automatically be connected in every situation. CPDS scopes the sources that matter and confirms what is technically practical.

Does this all have to use AI?

No. AI can be useful for conversational assistants and selected workflows, but it is not the point of the system. If a normal form, reminder or straightforward automation solves the problem better, we use that.

Can a chatbot work on more than my website?

Potentially. Depending on the channels and platform access available, conversational assistants can be scoped for website chat and suitable messaging channels such as WhatsApp or Meta. Not every platform or account is always connectable.

Can I add booking, follow-up or other capabilities later?

Yes. This is intentionally modular. A business can start with the clearest problem and add connected pieces later where they genuinely improve the process.

Where does Missed Call Recovery fit?

It works as its own focused solution: an AI-powered Call Handler answers when you can’t, asks a few useful questions and passes the details back to you, so there is a clear callback next step.
